Trust Operations Specialist

The Trust Operations Specialist is a full-time position responsible for a variety of trust administrative functions on a daily basis. 

In collaboration with other team members of the Bank and Trust Department, the Trust Operations Specialist assures compliance with all Bank policies and procedures, as well as all applicable state and federal banking regulations. 

ESSENTIAL DUTIES

  1. Support the department in Trust account file preparation, review, and maintenance, as well as daily and monthly operation matters.
  2. Learn different elements of trust administration, including cash needs management, processing receipts and disbursements, and account compliance with regulations.
  3. Learn to interpret trust instruments and other legal documents.
  4. Complete preliminary work related to account open and close matters.
  5. Train to accurately post transactions for accounts, transaction entries, monthly account and securities reconciliations, and verification of assets. 
  6. Communicate as needed with investment firms engaged by the department.
  7. Sensitivity to deadlines for posting transactions and month end reporting is critical.
  8. Train as back-up to the Trust Department Manager to provide daily operations, month-end balancing, and account reconciliation.
  9. Assist with additional daily and monthly operational tasks as needed. 
  10. Ongoing training and development required.
  11. Proficiency in Microsoft Excel required. 
  12. Proficiency in remaining Microsoft Office suite applications. 
  13. Train and grow to proficiency in trust accounting system.
  14. Participate in internal and external training regarding developments in law and related matters involving trust administration.
  15. Works independently on projects as assigned, as well as regular recurring job tasks.
  16. Protects organization's values by maintaining confidentiality of customer and bank information.
  17. Regularly looks for opportunities to improve efficiency and effectiveness of the department. 
  18. Involvement in community service and bank promotion efforts representing Farmers State Bank.
  19. Promotes customer relationships bank-wide.
  20. Promotes marketing of bank products and services to meet customer needs.

SUPERVISORY RESPONSIBILITY

The position of Trust Operations Specialist is not responsible for the supervision of any employee(s). 

ENVIRONMENT AND PHYSICAL ACTIVITY

The incumbent is in a non-confined office-type setting in which he or she is free to move about at will.  The position may include driving a Bank or personal owned vehicle which includes exposure to the outside weather elements and moving mechanical parts.  It may include some minor annoyances such as noise, odors, drafts, etc. 

The incumbent in the course of performing this position spends time writing, typing, speaking, listening, lifting (up to 50 pounds), driving, carrying, seeing (such as close, color and peripheral vision, depth perception and adjusted focus), sitting, pulling, walking, standing, squatting, kneeling and reaching.

The incumbent for this position may operate any or all of the following: telephone, cellular telephone, copy and fax machines, adding machine (calculator), check protector, scanner and image systems, scanning equipment, encoder, money counter, credit card terminal, typewriter, computer terminal, laptop computer, personal computer and related printers, or other equipment as directed.

MINIMUM REQUIREMENTS

These specifications are general guidelines based on the minimum experience normally considered essential to the satisfactory performance of this position.  The requirements listed below are representative of the knowledge, skill and/or ability required to perform the position in a satisfactory manner.  Individual abilities may result in some deviation from these guidelines. 

  • High School Degree or equivalent. Associate’s degree (AA) is preferred; or three years of related experience and/or training; or the equivalent combination of education and experience.
  • Intermediate skills in computer terminal and personal computer operation; mainframe computer system; and word processing, spreadsheet and account opening software programs as well as Microsoft Office. 
  • Intermediate typing skills to meet production needs of the position. 
  • Intermediate knowledge of general office practices. 
  • Basic math skills; calculate interest and balance accounts; add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals; locate routine mathematical errors; count currency, coin and negotiable instruments in a timely manner. 
  • Effective verbal, written and interpersonal communication skills with the ability to apply common sense to carry out instructions, interpret documents, understand procedures, write reports and correspondence, and speak clearly to customers and employees. 
  • Ability to deal with difficult problems involving multiple facets and variables in non-standardized situations. 
  • Effective organizational and time management skills. 
  • Ability to work with minimal supervision while performing duties. 
  • Current driver’s license and a vehicle with appropriate insurance coverage if required to drive in the course of performing assigned duties and responsibilities.
